Terms and conditions for using the stands during the Community Biodiversity Fair (the Fair)
When you book a stand with us, you remain the ‘responsible person’ for that booking, even if there are many different people taking part or if you will not be at the Fair during the event. You can change this by having a different person from your organisation filling, signing and sending us the booking form.
You must ensure that all stallholders or anyone else participating in your activity are fully aware of the Terms and Conditions, and it is your responsibility as the ‘responsible person’ to ensure that they comply with the Terms and Conditions.
It is important that any activity during the Fair is suitable for a family audience and doesn’t cause offence, is not contrary to our charitable objectives, does not cover political, highly sensitive or discriminatory messages, language or conduct.
If we subsequently become aware of, or have cause to believe that an activity (or part of it) may not be appropriate, or if it is in conflict with, or detrimental to the Fair and the Norfolk Biodiversity Partnership, we reserve the right to cancel the stand or activity, or request that the specific activity does not proceed.
You must not sell, provide free of charge, display or promote food, alcohol or tobacco products, to the public, at your stand, during the Biodiversity Fair.
The venue and the Norfolk Biodiversity Partnership may take photographs or film footage of the event and activities taking place during the Community Biodiversity Fair. The venue and the Norfolk Biodiversity Partnership reserve the right to use such images or film footage for marketing and publicity purposes, which may include printed, online or social media content.
If you, or any other individual from your stand or taking part in your activity, are filming or taking photographs, it is your responsibility to acquire adequate consent from any members of the public as required by General Data Protection Regulation (GDPR).
At the end of the event, the responsible person must ensure any rubbish is removed from site. We reserve the right to remove any items left behind and believed to be rubbish. These will be disposed of immediately with the cost of disposal re-charged to you as the responsible person at £10 per sack.
You, as the responsible person, accept liability for any damage sustained to any part of the venue, or equipment belonging to the venue or the Partnership, through negligence or misuse during, or as a result of, your activity or participation.
Roll-up banners, display boards and other exhibition support are welcomed, as long as they are managed by stand holders, do not obstruct traffic and do not block access to other stands or fire exits. Exhibitors will be provided with tables and chairs by the venue, you cannot bring your own. No gas appliances/devices, no balloons and no single-use plastic materials such as give-away pens are allowed. Please check with the organisers if you want to bring larger items or have any questions.
No parking is permitted anywhere on site. You should use nearby public car parks.
